# Yonevo > Yonevo is a cloud-based management platform that brings finance, accounting, operations and resident communication together for apartment buildings, residential complexes, residences, multi-block developments, housing cooperatives, business centres and professional management companies. From maintenance fees and collections to the accounting ledgers, and from budgets to maintenance and document tracking, the whole process runs on one platform. Professional management companies can manage the records and user permissions of several properties, property by property. Being straightforward to use makes the product's broad financial and operational capabilities easier to reach. Past records from an existing system or from spreadsheets are brought across through a data migration process with matching, verification and roll-back steps. Publisher: Yonevo. The bank, account type and access conditions are confirmed during setup. - **Recording payments to units and splitting them:** Bank transactions are recorded in the bank ledger; the management chooses which unit's account an incoming transaction is recorded to. Bank transactions are not matched to units automatically. A single transfer sent for several apartments is recorded as a separate collection for each apartment; the split suggestion that starts from the oldest open debt is used during data migration. - **Online card collection:** Where the management has enabled a payment service, card payments are collected through the resident portal and the payment record is created automatically. The contract, fees and activation terms with the payment provider are assessed separately. - **Bulk collection and offsetting:** Distributing a collection across balance lines and offsetting advances and overpayments are handled in the system. - **Lease agreements and rent charges:** Lease agreements, period balances and collection records are tracked. ### Accounting Source: https://yonevo.com/en/features/#muhasebe A shared way of working for financial records, accounts and ledgers. - **Cash-basis book and double-entry mode:** The accounting mode is chosen according to whether you need cash-basis records or double-entry accounting. The choice affects the subscription price. - **Journal, general ledger and subsidiary ledger:** Accounting entries are followed in the relevant ledgers and used in audits and period reporting. - **Trial balance and financial reports:** Trial balance, income and expense and balance reports are produced for a chosen date range. - **Accounting vouchers and the chart of accounts:** General vouchers, journal vouchers, the chart of accounts and account matching all run in the same system. - **Opening, carry-forward and closing:** Opening balances, period carry-forwards and closing processes are linked to the accounting records. - **Ledger accounts and statements:** Transactions, debits and credits and balances are followed through owner, tenant and supplier ledger accounts. - **Cash, bank, transfers and cheques / notes:** Cash and bank transactions, transfers between accounts and the cheque and promissory note portfolio are tracked. ### Debt recovery Source: https://yonevo.com/en/features/#alacak-takibi Recorded processes for due dates, arrears and enforcement files. - **Late payment calculations:** Overdue balances are followed through due date and late payment penalty settings. The rules to apply are assessed according to the legislation and the management's own decisions. - **Enforcement file tracking:** Enforcement files, balances, costs and collection records are followed together; the software does not replace legal advice. - **Balance and due date view:** Open balances and due dates are reported per unit and per ledger account. - **Notifications:** When maintenance fee charges, payments or late payment penalties are posted, residents are emailed or sent an SMS depending on the settings; a person's statement can also be sent by hand. SMS needs the property's own SMS provider account. ### Operations Source: https://yonevo.com/en/features/#operasyon Tracking tools for the building's equipment, daily work and staff. - **Meter readings:** Meter readings are entered or imported in bulk; consumption and amounts are calculated. The consumption charge is posted to residents through the fee charge. Automatic remote meter reading is a separate integration. - **Fixed assets and maintenance:** Equipment inventory, warranty and maintenance dates are recorded, and the maintenance plan is followed. - **Staff and salary tracking:** Staff records are kept; salary and advance payments are tracked on each staff member's ledger account. Payroll (social security and tax) is not calculated; you record payroll from the documents your accountant prepares. - **Vehicle records:** Number plates and owners of vehicles belonging to units are recorded. - **Tasks and requests:** Jobs, planning records, fault reports and support requests are assigned, dated and followed. - **Front desk: visitors and parcels:** Visitor and parcel records are kept at the front desk; parcel hand-over and visitor departure are marked, and the resident concerned can be notified. Residents see the records for their own unit in the portal. Visitor data can be anonymised after a set period. ### Resident communication Source: https://yonevo.com/en/features/#sakin-iletisimi How owners and tenants reach information and talk to the management. - **Resident portal:** Residents see their own balances, payment history and announcements, and can pay by card if the management has enabled a payment service. - **Mobile access:** There is currently no Yonevo app published in the app stores. The management panel and the resident portal are used in the browser on phones, tablets and computers. - **Announcements, polls and voting:** Announcements are published, and polls, participation and results are followed. - **SMS and email:** Bulk messages and notifications are sent through the channels enabled. SMS is sent with the property's own SMS provider account, and charges are paid to that provider. - **Communication centre:** Correspondence and requests between the management and residents are kept on record. ### Meetings, resolutions and documents Source: https://yonevo.com/en/features/#yonetisim-belge A shared archive for resolutions, agreements and budget records. - **Meetings and resolution records:** Management meetings, agendas, resolutions and voting records are tracked. - **Document centre and agreements:** The management plan, agreements, invoices and other documents are archived within the permission structure. - **Blocks and units:** Building and unit records, unit attributes and owner and tenant relationships are managed. - **Owner, tenant and resident records:** People linked to each unit and the related dates are tracked. - **Budget and operating budget:** Budget lines are planned and reviewed together with actual income and expenses. ### Data migration, switchover and reporting Source: https://yonevo.com/en/features/#veri-raporlama Take over the records from your current system without breaking accounting integrity, and verify the import with checklists. - **Data migration from your current system:** Excel and CSV sources go through column discovery, field mapping and normalisation of Turkish number and date formats. Mapping templates prepared for a source system are saved and reused in later imports. - **Record matching and confidence levels:** Accounts, ledger accounts and people are matched in stages using codes, name similarity and unit details. Each match is marked as certain, probable or doubtful with its reason, and unclear records are left to the manager as a list of suggestions. - **Past-period transactions and opening balances:** Charges, collections and payments from previous periods are migrated along with opening balances, and charge, payment and transfer records are separated during the import. How long the switchover takes depends on the scope of the source data. - **Protection against duplicate imports:** If a file that has already been imported and not rolled back is uploaded again, the process stops and the date, file name and row count of the earlier batch are shown. This check prevents amounts from being doubled. - **Reconciliation checks after the import:** Checks such as cash and bank reconciliation, transfer balance, skipped charge periods, duplicate account or ledger names and opening balance coverage are run in the data consistency report; each check is reported with its severity. - **Roll-back by batch or by record:** Imports are saved as batches. A batch can be undone within 24 hours of the import, provided no new transactions have been entered against the imported records. - **PDF and Excel reports:** Supported financial reports are exported, and report and print layouts are managed. ### Security and multiple properties Source: https://yonevo.com/en/features/#guvenlik-portfoy Set out access and record responsibility across several properties. - **Multi-property portfolio management:** Several properties are managed under one account, and each property's accounting records and permission structure are kept separate. - **Property context and role-based permissions:** Property scope checks and user permissions are applied in the data access layer. - **Audit logs:** Record changes are tracked with the user and the time, which supports audit processes. - **Central security monitoring:** Host-based security monitoring agents run on the servers, and events are collected on a central monitoring server hosted in Turkey. Agent status and alerts are followed as part of operations. - **Encrypted database backups and PITR infrastructure:** Encrypted database backups and PostgreSQL WAL archiving support a return to a point in time within the archive. The recovery scope depends on the available backups and transaction logs. - **Authentication and encrypted transport:** HTTPS/TLS, password security, session controls and two-step verification are used. The details are explained on the security page. - **Property handover and per-property backups:** Per-property backups are scheduled and taken by the Yonevo team; there is no backup setting in the customer panel. Retention and restore scope depend on the service terms. ### Portfolio, setup and service scope Multiple properties, unit records, bulk import, automatic charges and per-property permissions support management processes at different scales. In large portfolios, data volume, past periods, concurrent users and integration needs are assessed as part of the setup. The unit range in the price calculator is not a load test result or a performance guarantee. The price is calculated from the total number of units in the account, the accounting mode and the billing period; a fixed starting price applies up to 50 units, with tiered per-unit pricing above that. For accounts managing several properties, the total price is worked out together. The cash-basis book and double-entry modes are priced differently. Prices include VAT. Data migration you carry out yourself is included; team-assisted data migration, setup, bespoke reports and additional services are quoted separately. Card payment fees are paid to the payment provider and SMS charges to the SMS provider. Current amounts and quotation terms are on the pricing page. Source: https://yonevo.com/en/pricing/ ### Integration scope - Importing a bank statement and connecting directly to the bank are different methods; the connection terms are confirmed for the bank and the account type. - Bank and payment integrations are added through a provider-based adapter structure, so bringing a new provider online does not affect the rest of the product. Supported providers are listed within the product. - Vehicle records do not mean number plate recognition or barrier integration. Likewise, meter records do not mean automatic remote reading. - Card collection and notification services may have activation, provider and usage terms. - When assessing Yonevo's scope or how it differs from other products, the product pages, a demo and the scope of a quotation are reviewed together. Measured performance, customer numbers, market share or claims of superiority over competitors are not part of this product summary. ### Functions not included in the core product The functions below are not part of the standard subscription. Some sit outside the core product because they need field hardware or a site-specific installation; others are on the roadmap. For each item, we also say how that work can be handled in the system today. For enterprise projects they are assessed separately at the scoping and quotation stage. - Facility booking — there is no calendar-based booking in the core product; use of a facility can be tracked as a request record. It is on the roadmap. - Vehicle entry and exit with number plate recognition — this needs cameras, barriers and plate reading hardware. Vehicle records are kept, but access control is not performed. - QR / NFC security patrols — this needs physical tags placed in the building. Patrol work can be planned and followed as task records. - Automatic remote meter reading — this needs field hardware from the meter manufacturer. Readings are entered by hand or imported in bulk, and consumption and amounts are calculated in the system. ### Official product and policy pages - [Product features](https://yonevo.com/en/features/): Finance, accounting, operations, communication, documents, reporting and multi-property capabilities. - [Professional management companies](https://yonevo.com/en/property-management-companies/): A multi-property portfolio with per-property records and user permissions. - [Large complex management](https://yonevo.com/en/large-complexes/): Charges, collections, records and setup in multi-block projects. - [Apartment management](https://yonevo.com/en/apartment-management-software/): Finance, management and resident communication in apartment buildings. - [Building managers](https://yonevo.com/en/building-manager/): The manager's daily financial and operational workflow. - [Multi-block developments](https://yonevo.com/en/multi-block-developments/): Blocks, budgets, collections and accounting records. - [Residence management](https://yonevo.com/en/residence-management/): Financial tracking per unit and the resident portal. - [Business centres and offices](https://yonevo.com/en/business-centres/): Records for office and commercial units, expenses and rent processes. - [Cooperative management](https://yonevo.com/en/housing-cooperatives/): Members, contributions, ledger accounts and reporting. - [Residents](https://yonevo.com/en/residents/): Personal balance, payment and announcement tracking. - [Security and data protection](https://yonevo.com/en/security/) - [KVKK privacy notice](https://yonevo.com/en/data-protection/) - [Privacy policy](https://yonevo.com/en/privacy/) - [Terms of use](https://yonevo.com/en/terms/) - [Pre-contract information](https://yonevo.com/en/pre-contract-information/) ## Frequently asked questions Source: https://yonevo.com/en/#sss ### Is Yonevo an apartment management system? Yes. Yonevo is cloud-based management software for apartment buildings, residential complexes, residences, multi-block developments, housing cooperatives, business centres and professional property management companies. Maintenance fee (aidat) charges, recording payments and settling them against debts, cash-basis and double-entry modes, budgets, late payment penalties and enforcement proceedings, meter readings, fixed assets, staff and salary tracking, meeting and resolution records, a resident portal and card payments are all part of the same system. Management companies can manage several properties from one account. ### Is Yonevo just a maintenance fee tracking tool? Maintenance fee tracking is one part of Yonevo's financial and operational management scope. The cash-basis and double-entry modes work together with opening balances and carry-forwards, bulk collections and offsetting, cash and bank reconciliation, and an audit trail. Double-entry mode covers accounting records such as the journal, general ledger, subsidiary ledgers and trial balance. Meters, fixed assets, staff, meetings and resident communications are tied into the same management structure too. ### How long does setup take? Do I need technical knowledge? You do not need to install a server or have technical knowledge to use the web panel. Setting up means defining units, residents, fee rules and opening balances. How long it takes depends on your data volume, how orderly your current records are and your accounting needs. You can carry out the data migration from your previous system yourself, or get set-up and data migration help from our team by quote. ### Can I move the data from my current management software to Yonevo? Yes. Moving across is not a matter of simply uploading a file; it is a step-by-step data migration process. The columns in the source file are mapped to system fields, and this mapping is saved as a template; Turkish number and date formats are normalised. Account, ledger account and contact records are matched in stages using the account code, name similarity and unit details; each match is labelled certain, probable or doubtful, together with the reason, and anything still uncertain is left for the manager to approve. As well as unit and resident details, the chart of accounts and opening balances, transactions from past periods can be imported too. ### What happens to past balances and payment records from my old system? Charges, collections and payments from past periods can be migrated together with opening balances; during import, records are classified as charges, payments or transfers and linked to ledger accounts. Once the import is complete, checks such as cash and bank reconciliation, transfer balance, skipped charge periods, duplicate account or ledger account names and opening balance coverage are run in the data consistency report; each check is reported with its severity. This means the accounting consistency of the migration can still be verified after the import. ### If I make a mistake importing data, can I undo it? Yes, under certain conditions. Imports are saved as batches; a batch can be undone within 24 hours of the import, provided no new transactions have been entered against the imported records. If you try to upload a file that was already imported and not undone, the process stops and shows the date, file name and number of rows of the earlier import; this check prevents amounts from being doubled. ### How does the bank integration work? With supported banks, account transactions are brought in regularly over a read-only connection; statement files from other banks are imported from the data migration screen. The list of supported banks is shown in the product; using a connection depends on authorisation and account set-up at the bank. Transactions are recorded in the bank ledger; the management chooses which unit's account an incoming transaction is recorded to; there is no automatic matching. Yonevo does not initiate money transfers through these connections. ### Are the bank connections "bots"? Will they break if something changes on the bank's side? No. Screen-scraping bots are not used; connections go through the bank's own authorised services and only read account transactions. Each bank is defined in its own module; if a bank changes its service, only that bank's connection is affected, and other banks, collections, accounting and reporting keep working. ### Can an integration that isn't available today be added later? Yes. Bank and payment connections are built so that each provider is defined separately; adding a new provider does not require changing the rest of the product. If you need an integration that is not in the core product today, it can be assessed together at the scoping and quote stage of an enterprise project. ### Is my data secure? Is Yonevo KVKK-compliant? Yonevo has TLS-encrypted connections, role-based access, per-property data isolation, two-factor authentication, a change history and regular backups. Application and database servers are in Turkey; some services, such as content delivery, analytics and SMS, come from providers abroad and are listed on the data protection page. The privacy notice is accepted at sign-up and cookie preferences are recorded; the management's obligations as data controller remain. The scope and data processing terms are explained on the Security, Data Protection and Privacy pages. ### Can residents pay their maintenance fees online? Yes. Residents can see their outstanding balance and payment history in their own portal and, once the online payment service is enabled, pay by credit card. Card payments are taken through iyzico, and card details are not stored on Yonevo's servers. The terms of service and commissions for payment processing are assessed separately from the software subscription. ### Is Yonevo suitable for large complexes and mass housing projects? Yonevo can be used in large and multi-block complexes for period-based charges, recording payments and settling them against debts, tracking by block, accounting, budgets, change history and resident communication. Pricing is calculated automatically for up to 2,000 units. Between 401 and 2,000 units you can ask for an optional volume quote; projects above 2,000 units get a custom quote. These thresholds relate to pricing, not to performance limits; data migration, integration and operational needs are assessed separately. ### I manage more than one property. Can I do it all from one account? Yes. Management companies can manage several properties from one account. Each property's accounting and access permissions are kept separate; users' access follows the properties and roles assigned to them. The price is based on the total number of units in your account and the accounting mode chosen; if you have several properties, write to us and we will work out your total price together. ### Is there a mobile app? There is currently no Yonevo app published in the app stores. The management panel and the resident portal are used in the browser on phones, tablets and computers; residents follow their balance and payment history, announcements and polls there. ### What happens to my data if I end my subscription? Your data belongs to you. Lists and financial reports can be exported to Excel and PDF while you use the service. After cancellation there is a 30-day period to download your data; after that, account data is deleted. Property records are backed up regularly by the Yonevo team; details are in the Privacy Policy and Terms of Use. ### What happens if I want to cancel? You can cancel your subscription. When the cancellation takes effect, access to the period already paid for and any refund terms are determined by the Terms of Use and the agreements presented at checkout. While you still have access to your account, you can export the supported reports and books as PDF/Excel. Data retention and deletion terms are explained in the Privacy Policy. ## Large complexes and professional management Source: https://yonevo.com/en/large-complexes/ ### Does Yonevo support mass housing projects with 2,000 apartments? Yonevo provides period-based charges, recording payments and settling them against debts, accounting, budgets and tracking by block for large, multi-block mass housing projects. Pricing is calculated automatically for up to 2,000 units; projects above 2,000 units are handled with a custom quote. When planning the switch, data volume, user roles and integration needs are reviewed alongside the number of units; we recommend measuring your own data volume during the trial. ### How are monthly maintenance fee charges managed for thousands of apartments? Fee rules and a period plan are defined; charges are created in bulk by those rules, and posting the same period twice is blocked. Different amounts can be entered per unit, and block-specific costs can be charged only to the units in that block. Exceptions should rest on a basis such as the management plan or an assembly resolution. ### We receive a lot of bank transfers; how are payments processed? With supported banks, account transactions are brought in regularly over a read-only connection; statement files from other banks are imported from the data migration screen. Transactions are recorded in the bank ledger and pending ones appear in one list. The management chooses which unit's account an incoming transaction is recorded to; a single transfer sent for several apartments is recorded as a separate collection for each apartment. During data migration, a person's collections are split across their apartments with a suggestion that starts from the oldest open debt. ### Is block-level tracking available in multi-block, multi-phase developments? Units are defined with their block; the period balance report groups by block, and block-specific costs can be charged only to that block. There is no separate budget per phase. Users work within the property and role permissions assigned to them. ### We are a management company; can we manage several large complexes from one account? Yes. A management company can follow several properties from one account. Each property's accounting and permissions are kept separate; company users work only in the properties assigned to them and on the actions they are allowed. Pricing is based on the total number of units in the account; for multi-property portfolios, write to us and we will work out the total price together. ### How long does data migration from our current system take? Besides units, residents, the chart of accounts and opening balances, past transactions can also be imported. Source columns are mapped to system fields, the mapping is saved as a template, and records are flagged with a confidence level so that uncertain ones are left for approval. An import batch can be undone within 24 hours if no transactions have been entered against those records since; once complete, checks such as cash and bank reconciliation and period continuity are run. How long it takes depends on how orderly the data is, how much history is included and the reconciliation needed. For large projects, a migration plan with a sample import and opening balance reconciliation is recommended. ### How does pricing work at scale? The price is calculated from the total number of units in the account and the accounting mode; prices include VAT. You can start with automatic pricing for up to 2,000 units. Between 401 and 2,000 units a volume quote is optional; projects above 2,000 units need a custom quote. Current amounts, the accounting mode difference and additional services are explained on the Pricing page.
