Housing Cooperatives·Answer members from the record

Keep member accounts in order in your cooperative.

In housing and building cooperatives, each member's fees, instalments and payments are followed in a separate account; before the general meeting, income and expenses and the member balance list come from the same record. The cooperative's statutory books and tax returns stay with your accountant; Yonevo is for following member accounts and internal reporting.

Common situations

Which of these sound familiar?

Member payments in a notebook
When many members' payments are entered by hand, missing or duplicate entries creep in easily.
"Where did my money go?"
When a member asks for an account, the answer needs to rest on documents and come quickly.
The rush before the general meeting
Income and expense tables and member balance lists get pieced together in spreadsheets on the last day.
Transfers with no description
Working out which member a transfer with a missing description belongs to takes time.
Handover when the board changes
When the management board changes, the integrity of the records should not depend on people's memory.
Following up late payers
Calling late-paying members one by one is tiring and strains relationships.
How it works in Yonevo

The same work, in one orderly record.

Member Ledger Accounts

Each member's fees, instalments, payments and balance history are kept in their own ledger account; the statement is one click away.

Fee and Instalment Charges

The monthly fee is charged by rule; instalments can be set up as planned recurring charges up to 24 months ahead. Posting the same period twice is blocked.

Bank Transactions

With supported banks, transactions are fetched automatically over a read-only connection; statements from other banks are brought in through data migration. You confirm which member each payment goes to.

Member Portal and Card Payments

Members see their balance and payment history in the browser; if your cooperative has connected a payment provider account, they pay by card.

General Meeting Reports

Income and expenses, the member balance list and cash and bank listings are available as PDF or Excel.

Internal Accounting Records

Double-entry mode keeps the journal, general ledger and trial balance. These are internal records; they do not replace certified or electronic statutory books.

Late Payment Rule and Notifications

The late payment rule is set to a rate, a fixed amount or off according to your articles of association; KMK Art. 20 is for buildings already under condominium ownership. Notifications go by email or SMS according to your settings.

Change History and Permissions

Who changed what, and when, stays on record; members of the audit board can be given read-only access.

Example workflow

How are the accounts prepared before the general meeting?

An order you can follow at period end.

  1. 1
    Close off the period
Check that pending bank transactions have been posted to members and that cash and bank balances agree with the statements.
  2. 2
Run the income and expense report
The period's income and expenses are reported on an accruals or cash basis.
  3. 3
    Produce the member balance list
Period-end balances are listed per member; a member who disputes theirs is given their own statement.
  4. 4
    Compare with your accountant
The figures are compared with the statutory books; any difference is resolved before the general meeting.
